SchoolMate+ ("we", "us", or "our"), a product of PlunkorSyS™, provides a digital school management platform used by schools, students, parents, and staff. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices available to you. By using the SchoolMate+ web portal or the SchoolMate+ Parent mobile application, you agree to the practices described in this policy.

1. Information We Collect

We collect and process the following categories of information:

School and staff information — provided by subscribing schools, including school contact details, staff profiles, roles, and login credentials.
Student records — submitted by schools during enrollment, including name, date of birth, gender, address, photographs, class/enrollment history, attendance, and academic performance records.
Parent or guardian information — name, relationship to the student, email address, phone number, and login credentials used for the Parent app and portal.
Financial information — fee schedules, tuition bills, payment records, receipts, and outstanding balances associated with students.
Device and technical information — device tokens for push notifications, app preferences stored locally on your device, and standard log data (IP address, browser type, pages accessed) when you use our services.

2. How We Use Your Information

To operate, maintain, and improve the SchoolMate+ platform and mobile application.
To manage student enrollment, academic records, attendance, and grade reporting.
To generate bills, record fee payments, and provide receipts and financial reports.
To deliver school announcements, messages, and notifications (via the in-app bulletin, push notifications, and SMS where enabled by your school).
To authenticate users and protect accounts against unauthorized access.
To provide customer support and respond to inquiries.
To comply with legal obligations and enforce our Terms & Conditions.

3. How We Share Your Information

We do not sell your personal information. We share information only as follows:

With your school — school administrators can view records for their own students, parents, and staff within their subscription.
With parents and guardians — parents can view information for children linked to their account.
With service providers — trusted third parties that help us operate the platform, such as hosting providers, push notification services (Firebase Cloud Messaging), and SMS delivery providers, subject to confidentiality obligations.
Where required by law — if disclosure is necessary to comply with a legal obligation, court order, or governmental request.

4. Data Retention

Student academic and financial records are retained by the school for as long as required for educational, financial, and legal purposes. Parent and staff account information is retained while the account is active. When an account is deleted, we remove personal contact information (email, phone, address) and credentials; academic and financial records tied to students are retained by the school as required.

5. Data Security

We implement appropriate technical and organizational measures to protect personal information, including encrypted credentials, token-based authentication for the mobile application, access controls based on user roles, and security headers on our services. No method of transmission over the Internet is completely secure, and we cannot guarantee absolute security.

6. Children's Data

SchoolMate+ is used by schools to manage student information, and the Parent application is intended for use by parents and guardians. Student records are entered and controlled by the student's school. We do not knowingly collect information directly from children without the involvement of their school or parent/guardian. If you believe a child's information has been provided to us improperly, please contact us so we can work with the school to resolve it.

7. Push Notifications and SMS

With your consent, the SchoolMate+ Parent application may send push notifications about your child's school activities. You may withdraw this consent at any time through your device settings. Schools may also send SMS messages through the platform where they have enabled that feature.

8. Your Rights and Choices

Access and correction — you may review and update your account information within the app or portal, or contact us for assistance.
Account deletion — you may delete your SchoolMate+ Parent account at any time from the Profile screen of the Parent application, or Click here. Deleting your account removes your contact information and credentials and signs you out of all devices.
Communication preferences — you may disable push notifications in your device settings at any time.

9. Cookies and Local Storage

Our web portal uses session cookies to keep you signed in. The mobile application stores your authentication token and app preferences locally on your device. These are required for the services to function and do not track you across other websites or apps.

10. International Data Transfers

SchoolMate+ is operated from Liberia. If you access our services from outside Liberia, your information may be transferred to and processed in Liberia. By using our services, you consent to such transfers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of our services after changes are posted constitutes acceptance of the revised policy.
